Job description

An exciting new opportunity has arisen at our Sutton Coldfield Head Office for a Payroll and Accounts Apprentice.

The ideal candidate will be responsible for high volume processing of timesheets, involving collecting paper and email timesheets off email systems, sorting them and then inputting timesheets onto computer system. Pay and charge data is then exported into Sage 50 Accounts. Dealing with client, candidate and colleague payroll and accounts queries politely and effectively. Provide bookkeeping services to Aspire People Ltd from time to time; sales reconciliations, purchasing materials and equipment; conducting invoice activities; paying suppliers for delivered materials and performing clerical/ administrative functions.

The Key Tasks, which you will receive training for are:
Administration
*Data entry of all new starters and leavers for weekly temporary workers and monthly staff payroll.
*Data entry of timesheets for 500+ temporary workers on Merit Payroll and invoicing system.
*Maintain a weekly and monthly payroll record for all new starters, leavers, changes and bonuses.
*Running of payroll completion reports including margin reports based on pay and charge date from timesheet booking system and reconciliations.
*Exporting of payroll date to Sage accounting system.
*Posting transactions onto Sage Line 50 Accounts - Bank payments /receipts coding and importing, invoices and purchase orders, performing balance sheet account reconciliations.
*Filing Invoices, Purchase Orders, HMRC Notifications, Payroll Reports.
*Any other duties as required by the business.

Payroll
*Data Entry of Timesheets process in line with company requirements.
*Process and submit weekly and monthly payroll including statutory year end returns and P60s.
*Responsible for maintaining and updating all payroll processes, procedures and timings.
*Deal with employee and temporary workers salary and payroll queries with the highest level of customer service
*Responsible for all reporting from payroll in line with HR and business requirements.
*Maintain and update static payroll data as per business requirements.
*Enter variable overtime and commission and expense payments.
*Liaise with HM Revenue and Customs where necessary.
*Send all P45s/P46s to Revenue and Customs for all starters and leavers.
*Chase managers and recruitment consultants for missing timesheets / information where necessary.
*Chase payroll debt from weekly and monthly payroll employees.
*Update all statutory payments as appropriate i.e. SSP, SMP, SPP, SAP.
*Maintain and update P11D database with employee benefits.
*Calculate monthly PAYE & NIC payments to HMRC in a timely and accurate fashion.
*Reconcile Payroll and Invoice outputs to Gross Margin Reports.
*Reconciliation of Net Pay controls, employee loans and PAYE and NIC control accounts.
*Any other payroll duties as required by the business.


The ideal candidate will have:
*Word processing skills
*Good verbal communication and listening skills
*Ability to follow instructions and organise yourself to complete tasks fully and on time
*Ability to use initiative to think through problems to find solutions
*Literate with good written communication skills
*Ability to check for accuracy and give attention to detail
*Good team work
*Work under pressure and to tight timescales
*Build strong relationships internally with every employee to ensure they deliver the customer service strategy.
*Knowledge of Computerised Payroll systems and fluid timesheet-based payroll.
*Knowledge of Revenue and Customs' current legislation e.g. NI rates, statutory payments etc.
*Knowledge of bookkeeping and UK generally accepted accounting principles.
*Knowledge and experience of using a computerised payroll system.
*Knowledge of how to operating Company accounting & associated systems.
*Knowledge of maintaining account balances and reporting on their status.
