1 Professional duties and responsibilities:
The Administrator to the Chapter will undertake an agreed administrative and coordinating role, as
agreed with the Head of Chapter. Each Administrator will have core duties directly relevant to their
assigned Chapter and will, in addition, serve the administrative needs of a designated Faculty.
Such duties will assist the Head of Chapter in the day to day running of the Chapter.
Each Chapter is responsible for the academic and personal progress of its students. The postholder
will have negotiated responsibilities and provide key administrative support, supporting the
Academy mission. The emphasis within these responsibilities is expected to change and evolve
over time, as the Academy becomes established.
Specific duties
The agreed role of the Chapter Administrator will include the following:
2.1.1 Students and Staff
_ Provide secretarial, administrative and organisational support for the Chapter Team
_ Act as an initial point of contact for the Chapter and receive parents and visitors
_ Act as Admissions Officer to the Chapter, ensuring administrative procedures follow
Academy policy and providing support for the overall process
_ Working with the Assistant Head of Chapter, ensure effective administration of attendance
and punctuality, contacting parents as required
_ Support parents, visitors, students and staff by dealing sensitively with their enquiries,
offering help and guidance as appropriate
_ Maintain an accurate data base, entering, editing and retrieving data as and when required,
in liaison with the Management Information Systems Manager
_ Analyse and evaluate data/information and produce reports/information/data as required
_ Maintain and update student records in hard copy, as required, ensuring secure storage

_ Ensure that messages are prioritised and passed on in a timely and appropriate manner
_ Liaise with teaching staff regarding student and parental concerns
_ Prepare documents and curriculum materials required by staff within the Chapter
_ Set up and minute meetings with parents and external agencies, as required

staff on layout and design of materials
_ Support the organisation of trips, visits and events
_ Support the relevant members of staff in relation to examination entries and correspondence
_ Support all staff during assessment and reporting periods
_ Contribute to the planning, development and organisation of support service systems/
procedures/ policies
2.1.2 Parents and external agencies
_ Maintain good communications and working relationships with parents and carers,
contacting them, as required, promptly and efficiently

_ Act as an initial point of contact for parental queries and concerns
_ Produce and distribute standard letters and communications, as required
_ Provide statutory documentation as required
_ Ensure parents and carers are kept fully informed of their children's progress
_ Support, as appropriate, such as Academic Review Days, information evenings and the
production of relevant literature
2.1.3 Statutory Responsibilities
_ Work with the Chapter Leadership Team to ensure that Child Protection, Health, Safety and
Security, Confidentiality and Data Protection are addressed, in line with Academy policy
_ Work with the Chapter Leadership Team to ensure that statutory requirements are met
which relate to 'Looked After Children'
ADDITIONAL SPECIFIC RESPONSIBILITIES:
General Duties:
_ Support Academy events, as appropriate
_ Participate in appropriate meetings with colleagues and parents relative to the above duties
_ Participate in Quality Assurance and Performance Management procedures
_ Provide First Aid as and when required
